Our client is a leading global genomics and life sciences company at the forefront of sequencing innovation. They are seeking a personable, professional, and highly communicative Admin Partner to support two Vice Presidents, with a primary focus on calendar management. This hybrid role is an LOA coverage position based in San Diego, CA and is not expected to convert into a permanent opportunity.
Essential Functions and Responsibilities
- Report to VP and/or above and support the department, function, or site as needed
- Maintain executives' appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel
- Schedule and manage all domestic and international travel, accommodations, meetings, and meeting logistics
- Prepare reports by collecting and analyzing information
- Answer, screen, and direct telephone calls; provide information by responding to questions and requests
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Organize, reconcile, and submit expense reports via Concur
- Act as an internal and external ambassador for the organization, exhibiting a positive attitude and reflecting company values
- Demonstrate strong business partnership across multiple departments, functions, sites, and leaders
- Create and revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implement changes accordingly
- Implement practices to increase productivity and effectively manage communications where appropriate
- Complete operational requirements by scheduling and assigning administrative projects and expediting work results
- Handle details of a highly confidential and critical nature
- Organize and plan a variety of events, including conferences and meetings
Education and Experience
- Experience with calendar management, meeting and event planning, preparation of presentations, conference registration, and expense report administration
- Ability to demonstrate professional presence and engage effectively with customers and partners at the executive level
Knowledge and Skills
- High level of proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Strong communication, interpersonal, and relationship-building skills
- Ability to handle confidential information with discretion and strict attention to detail
- Ability to work effectively in an inter-departmental, cross-functional team environment
