Our client, a leading biotechnology company dedicated to developing innovative therapies, is seeking a Site Operations Coordinator. In this role, you will provide administrative, general, and technical labor support for Facilities, EHS, Security, and Warehouse functions. You will also perform Front Desk reception duties as needed, up to five days per week.
Essential Duties and Job Functions
Responsibilities include, but are not limited to:
- Provide front desk reception coverage for normal business hours, including opening and closing duties.
- Coordinate daily with site security officers to align on site activities and information.
- Greet and register all visitors (clients, vendors, candidates, etc.) with professionalism and service excellence.
- Preregister and check in visitors using the iLobby system.
- Issue and manage site access badges using Brivo.
- Assist with daily mail distribution (incoming and outgoing).
- Serve as the primary point of contact for facility-related vendors and property management work tickets.
- Coordinate building equipment maintenance schedules and landlord-sponsored site work.
- Maintain EHS compliance calendar and coordinate EHS support activities.
- Schedule departmental meetings, activities, and site events (including catering).
- Oversee upkeep of the front lobby and reception area.
- Maintain the Site Operations department SharePoint page.
- Assist in maintaining emergency management notification systems (Alert Media).
- Support seating assignments using Office Space software.
- Manage office supply inventory and shipping/receiving supplies.
- Organize and maintain storage and warehouse spaces across the campus.
- Provide support for laboratory and site safety programs as needed.
- Perform other duties as assigned.
Knowledge & Skills
- Strong organizational skills with attention to detail.
- Proven administrative and workflow management experience.
- Effective communication skills, both individually and in groups.
- Ability to work collaboratively with multi-disciplinary teams in a fast-paced environment.
- Strong attention to safety protocols.
Education & Experience
- High school diploma required; minimum of 3 years of relevant experience.
- Previous pharmaceutical or biotech industry experience preferred.
- Willingness and ability to provide occasional overtime support after-hours or weekends (e.g., inclusion on the after-hours contact list).
Technical Knowledge
- Proficiency with common office equipment (PCs, scanners, copiers, voicemail, email).
- Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and Zoom.
- Experience (or willingness to learn) specialized software including: SharePoint, iLobby, Brivo, Eagle Eye, Office Space, and Alert Media.
