Position Summary
Our client, a leading organization driving innovative growth initiatives in the energy sector, is seeking a dynamic Assistant to provide administrative support to senior leaders who focus on challenging, cutting-edge growth initiatives for the company. In this fast-paced role, you will be responsible for a wide range of tasks with varying priorities including organizing travel and accommodations, managing schedules and appointments, employee engagement initiatives, supply ordering and management, expense reporting, as well as other general office administrative duties. This position requires performing diversified and confidential administrative duties by applying broad and comprehensive experience, skills, and knowledge of organizational policies and practices, with some independent judgment of organizational standards.
Essential Functions and Responsibilities
- Communicate effectively with all levels of employees and external stakeholders
- Balance multiple priorities in a fast-paced environment
- Problem solve and maintain a solutions-oriented approach
- Accurately maintain calendars for selected individuals
- Execute on projects using Excel and PowerPoint software
- Manage and prioritize phone and email messages
- Play the lead role in coordinating all aspects of meetings and engagement events (attendees, meeting space, supplies, refreshments)
- Create and assist with all correspondence (letters, emails, etc.)
- Actively manage multiple schedules and appointments
- Arrange travel and prepare itineraries
- Perform general office administrative duties
- Coordinate support with the team of other administrative professionals
- Proactively complete miscellaneous tasks as assigned
- Contact other departments and/or outside agencies to resolve problems
- Interact with all levels of employees as needed to perform responsibilities
- Work on special projects as requested
- Perform other job-related duties as assigned
Education/Experience
- High School Graduate / GED required
- 2-5 years of administrative experience
Knowledge/Skills
- Detailed understanding of the full Microsoft Office suite
- Strong attention to detail and organizational skills
- Experience interacting with top-level executives both internally and externally
- Ability to exercise high level of confidentiality
- Superior communication skills (both written and verbal)
- Bias for action and positive attitude
- Ability to actively contribute to a positive, team-centric environment
