This role provides administrative and operational support to the Operations & Engineering (O&E) Supervisor and the Electric Regional Operations team, ensuring efficient coordination of field and office activities. The position is responsible for managing the Electric Troubleshooter schedule, coordinating daily staffing assignments, supporting damage report tracking, and assisting with a range of administrative and compliance-related functions for the department. This is a Level IV position requiring 8+ years of administrative support experience.
Job Responsibilities:
In this role, you will manage and support a variety of administrative and coordination functions within the Electric Regional Operations department. Key responsibilities include:
- Managing and maintaining the Electric Troubleshooter schedule, including daily staffing assignments and workload prioritization (approx. 40% of role)
- Tracking, documenting, and processing customer and third-party damage reports, ensuring accurate records and timely follow-up (approx. 20% of role)
- Supporting the assignment and coordination of ETS pre-arranged customer request jobs, and monitoring workflow status to help meet service commitments (approx. 20% of role)
- Maintaining tracking of ETS AED inspections and related compliance requirements, ensuring records are current and follow-up actions are completed (approx. 5% of role)
- Providing administrative support for ETS safety meetings, including note-taking, distribution of meeting minutes, and tracking of action items (approx. 5% of role)
- Supporting a variety of ETS administrative follow-up requests, data entry, reporting, communications, and records management activities (approx. 5% of role)
- Performing additional administrative and operational duties as assigned to support the overall effectiveness of the Electric Regional Operations organization (approx. 5% of role)
Essential Job Duties and Job Functions:
- Coordinate and maintain scheduling systems for field troubleshooter staff
- Process and maintain accurate documentation for damage reports and compliance tracking
- Support workflow monitoring to ensure service-level commitments are met
- Take and distribute meeting notes, and track resulting action items to completion
- Handle general administrative requests, data entry, and records management for the department
Knowledge and Skills:
- Strong organizational and scheduling skills, with the ability to manage competing priorities
- Proficiency in data entry, tracking systems, and standard office/administrative software
- Excellent written and verbal communication skills, including meeting note-taking and minute distribution
- Attention to detail and accuracy in documentation and compliance tracking
- Ability to work independently and support multiple stakeholders within an operations/engineering environment
Education and Experience:
- 8+ years of experience providing administrative support to a department or individual
- Experience in an operations, utility, or field-services environment preferred
- High school diploma or equivalent required; additional relevant coursework or certifications a plus
