Position Summary




Our client, a major US utility company, is seeking an Administrative Technician to support its corporate learning center. This role owns the day-to-day logistics behind instructor-led training and other learning activities, working closely with facilitators, employees, internal departments and vendors so that programs are scheduled, prepared, delivered and recorded smoothly. The ideal candidate brings broad administrative experience, strong organizational and customer service skills, a sharp eye for detail, and the ability to use sound judgment within established policies and procedures.



Essential Functions and Responsibilities

Working under general supervision, the Administrative Technician will:

  • Coordinate all logistics for instructor-led training classes and learning events from start to finish
  • Work with facilitators to set class schedules and confirm training requirements
  • Book classrooms and manage room schedules for the client's corporate university and Quality training programs
  • Arrange classroom setup, including submitting facilities requests and confirming rooms are ready ahead of each session
  • Administer the Learning Management System (LMS) for classroom training: scheduling classes, managing rosters, recording completions, processing chargebacks and resolving employee account issues
  • Monitor and respond to requests coming into the learning and Quality shared mailboxes
  • Maintain the learning and Quality training calendars
  • Order and keep stock of classroom, training and office supplies
  • Liaise with internal departments and external vendors to resolve scheduling, logistics, facilities and administrative issues
  • Review and process invoices in line with established accounts payable procedures
  • Communicate professionally with employees and leaders at every level of the organization
  • Keep accurate training, scheduling and administrative records
  • Support special projects and learning initiatives as needed
  • Perform other related duties as assigned




Education/Experience

  • High school diploma or GED required
  • 5+ years of experience in administration, operations, training coordination or a related field required
  • Experience coordinating instructor-led training, meetings, events or similar activities preferred
  • LMS administration experience preferred, ideally SAP SuccessFactors
  • Experience processing invoices, purchase orders or chargebacks preferred




Knowledge/Skills

  • Experience managing shared mailboxes, calendars, room bookings and scheduling
  • Proficient in Microsoft Office, including Outlook, Teams, Excel and PowerPoint
  • Highly organized with strong time management and the ability to juggle multiple priorities
  • Detail-oriented with a commitment to accurate recordkeeping
  • Strong written and verbal communication skills
  • Customer-focused with solid problem-solving skills
  • Able to work independently while collaborating well with facilitators, employees, vendors and internal partners
