JOB TITLE: Administrative Assistant
LOCATION: Valencia, CA
SCHEDULE: Monday – Friday | 6:30 AM – 4:30 PM
DURATION: 2-Year Contract
PAY: Up to $34-39/hr
Job Responsibilities:
In this role, you will provide high-level administrative and operational support for the HRCM project team within a live construction environment. Key responsibilities include:
- Supporting project leadership and field operations, including:
o Managing complex calendars and scheduling activities
o Coordinating meetings, tours, and stakeholder engagement activities
o Maintaining project tracking systems and administrative records - Supporting the Director and Senior Managers with daily administrative operations
- Coordinating communications and ensuring alignment across project stakeholders
- Assisting with logistics and scheduling while minimizing disruption to field execution
- Providing visibility into project activities to support decision-making and execution
Essential Duties and Job Functions:
- Manage complex scheduling and calendar coordination for leadership and project activities
- Coordinate project meetings, site tours, and stakeholder engagement logistics
- Track requests, approvals, and project activities using organized administrative systems
- Maintain accurate documentation, records, and communication logs
- Prepare reports, meeting materials, presentations, and correspondence as needed
- Support communication flow between leadership, project teams, contractors, and stakeholders
- Exercise sound judgment in prioritizing requests within an active construction environment
- Follow established approval processes and support compliance with project procedures
- Anticipate administrative and operational needs to proactively support leadership teams
- Assist with special projects and additional administrative tasks as assigned

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to work effectively onsite in a team-oriented environment
Education & Experience:
- High School Diploma required
- Bachelor’s Degree preferred
- Previous experience in administrative support, project coordination, or construction/project environments preferred
- Experience supporting senior leadership or project teams strongly preferred
