Position Summary
Our client, a Southern California utility company, is seeking an Administrative Assistant to support its Electric Regional Operations team.
This role provides administrative and operational support to the Operations & Engineering (O&E) Supervisor and the broader Electric Regional Operations team, helping keep field and office activities running smoothly day to day. The Administrative Assistant manages the Electric Troubleshooter schedule and daily staffing assignments, tracks and processes customer and third-party damage reports, and supports the coordination of pre-arranged job assignments and AED compliance inspections. The role also provides administrative support for safety meetings and handles a variety of follow-up requests, data entry, reporting, and records management that keep the department's operations on track. This is a strong fit for someone who is organized, detail-oriented, and comfortable communicating across supervisors, field personnel, engineers, and customers. Possible conversion to FTE; this is a Pilot Role, so conversion will depend on how the position performs.
Key Responsibilities
- Manage and maintain the Electric Troubleshooter schedule, coordinating daily staffing assignments and adjusting coverage to support workload prioritization and operational needs.
- Track, document, and process customer and third-party damage reports, ensuring records are accurate, complete, and followed up on in a timely manner.
- Support the assignment and coordination of pre-arranged customer request jobs, monitoring workflow status to help the team meet service commitments.
- Maintain tracking of AED inspections and related compliance requirements, keeping records current and ensuring any follow-up actions are completed.
- Provide administrative support for safety meetings, including taking notes, distributing meeting minutes, and tracking action items through to completion.
- Assist with a range of administrative follow-up requests, data entry, reporting, communications, and records management activities that support departmental objectives.
- Perform additional administrative and operational duties as assigned to support the overall effectiveness of the Electric Regional Operations organization.
Education & Experience
- High School Diploma required; Bachelor's Degree required or actively pursuing.
- 8+ years of experience providing administrative support to a department or individual, or an equivalent combination of education and experience.
Knowledge & Skills
- Ability to coordinate and manage complex, multi-person work schedules.
- Ability to track multiple concurrent assignments and shifting priorities without dropping details.
- Strong record-keeping habits, with accurate, audit-ready documentation.
- Sharp attention to detail when processing damage reports and work requests.
- Comfort maintaining compliance-related tracking, such as inspection logs, with consistent follow-through.
- Strong verbal and written communication skills across field, engineering, and customer-facing audiences.
- Ability to support meetings by documenting discussion points and action items.
- Proactive follow-up skills to keep requests moving toward timely resolution.
- Comfort working cross-functionally with supervisors, field personnel, and engineers.
