Job Responsibilities:
In this role, you will support and execute a range of administrative and operational tasks essential to the daily business functions of a professional services organization. Key responsibilities include:
- Processing client transactions using a customer relationship management (CRM) system with a focus on accuracy and timeliness.
- Collaborating with internal teams to gather data and support proposal preparation.
- Scanning, digitizing, and matching hardcopy documentation to CRM records.
- Maintaining organized and accurate digital records to ensure operational integrity.
- Participating in special projects and contributing to continuous process improvements.
- Addressing reporting issues, generating and interpreting reports, and responding to data inquiries.
Essential Duties and Job Functions:
- Enter and manage data in the CRM system with precision and efficiency.
- Communicate with internal teams to request and track customer usage data.
- Assist in preparing proposals based on supplier quotes.
- Ensure all scanned files are correctly paired with digital records.
- Troubleshoot and resolve discrepancies in documentation and data entries.
- Recommend and help implement workflow enhancements.
- Respond to internal information requests and support routine data analysis.
Knowledge & Skills:
- Strong attention to detail and data accuracy.
- Proficiency with CRM platforms (Salesforce preferred) and Microsoft Office applications.
- Excellent organizational skills with the ability to manage multiple priorities.
- Effective written and verbal communication skills.
- Proactive problem-solving capabilities and ability to work independently.
- Team-oriented mindset with the ability to collaborate cross-functionally.
- Knowledge of administrative best practices and information management.
- Understanding of basic analytics and reporting.
Education & Experience:
- High school diploma or equivalent required; Associate’s degree preferred.
- 5+ years of relevant administrative experience, or an equivalent combination of education and work history.
- Prior experience working with CRM systems required.
- Background in data management, document handling, or customer service strongly preferred.
- Experience in energy or professional services industries is a plus.
