Position Summary
A leading energy provider serving customers across the United States is seeking a Contract Coordinator to support their contract management function. This role supports the organization by reviewing existing agreements, extracting and classifying key contract metadata, and ensuring accurate electronic filing within the company's document retention and contract repository systems. This role partners with business stakeholders to maintain a well-organized contract library that enables fast retrieval, reporting, and compliance. The specialist also leverages AI-enabled tools and workflows to improve the speed and consistency of contract classification while maintaining high quality standards.
Essential Functions and Responsibilities
- Read and interpret existing contracts and related documents (e.g., letter of credit and guaranty issuances and amendments)
- Identify contract type, parties, effective/expiration dates, renewal terms, key obligations, and other standard fields required for internal tracking
- Classify contracts in the internal database according to established taxonomy
- Enter and validate contract metadata with accuracy and consistency
- Flag missing information, inconsistencies, or unclear terms for escalation to Legal or designated reviewers
- Electronically file executed contracts and supporting documentation in the document retention system using naming conventions and retention policies
- Maintain version control and ensure documents are stored in the correct location with appropriate access controls (as applicable)
- Support audits and retrieval requests by locating documents quickly and reliably
- Use AI tools to accelerate contract summarization, metadata extraction, and classification suggestions
- Compare AI-generated outputs against contract language, correct errors, and document learnings to improve future accuracy
- Provide feedback to internal stakeholders on classification rules and opportunities to streamline the intake process
- Follow SOPs and contribute to updating job aids, templates, and classification guides
- Track work volumes, turnaround times, and error trends; propose improvements to reduce rework
- Maintain confidentiality and handle sensitive information appropriately
Education/Experience
- Required:
- 2+ years of experience reviewing, processing, or administrating contracts (Legal Ops, contract administration, procurement support, compliance, or similar)
- Demonstrated experience extracting contract data and maintaining accurate records in a database or tracking system
- Experience electronically filing documents in a retention system or document management platform with established conventions
- Comfortable working with sensitive/confidential information
Knowledge/Skills
- Contract comprehension: Strong ability to read and understand contract language, identify key terms, and summarize accurately
- Attention to detail: Consistent accuracy with metadata entry, naming conventions, and document filing standards
- Classification & taxonomy discipline: Comfort applying defined categories and business rules consistently
- Systems proficiency: Experience with contract lifecycle management tools, document management/retention systems, and databases (e.g., SharePoint, CLM tools, or similar platforms)
- AI fluency: Practical experience using AI-assisted tools (e.g., for extraction, summarization, classification) and verifying results against source documents
- Communication & collaboration: Clear written and verbal communication; ability to escalate issues with context and proposed options
- Time management: Ability to manage multiple contracts at once, meet deadlines, and maintain quality in a high-volume environment
