Our client is a top medical device company. They are seeking a detail-oriented Senior Representative to support physician training programs, documentation management, and HCP credentialing across their Medical Affairs function. This primarily onsite role sits within a fast-paced operations team and requires strong administrative, project coordination, and compliance orientation.
Essential Functions and Responsibilities
Physician Training Operations – Proactive Disease Management (50%)
- Own scheduling, coordination, and tracking of proctoring events and physician training activities across multiple stakeholders
- Manage training workflows from request intake through completion, ensuring timely execution and stakeholder alignment
- Reconcile training activities, documentation, and associated records for accuracy and completeness
- Serve as a central liaison between field teams, physician offices, and internal Medical Affairs partners
- Ensure all activities adhere to company policies, healthcare compliance standards, and audit readiness requirements
NCD Readiness & Documentation Management (30%)
- Partner with NCD Strategy leadership to ensure end-to-end processing of physician training and proctor sign-off documentation
- Maintain structured, audit-ready documentation within enterprise systems (e.g., SharePoint or equivalent platforms)
- Prepare, standardize, and organize records for AI-driven OCR workflows to enable scalable, high-quality data capture
- Conduct routine audits of new and historical records to ensure completeness, traceability, and regulatory alignment
- Identify and escalate documentation gaps or risks, enabling proactive remediation
Onsite Physician Training Support – Irvine (10%)
- Coordinate logistics for onsite training events, including materials, scheduling, and participant readiness
- Partner with field teams and internal stakeholders to ensure seamless execution of HCP education programs
- Troubleshoot real-time operational issues to maintain a high-quality training experience
HCP Credentialing & BioCard Management (5%)
- Support the HCP nomination and onboarding process in alignment with program requirements
- Maintain, update, and audit HCP BioCards and credentialing documentation
- Ensure physician profiles reflect current qualifications, affiliations, and training status
Operational Excellence (5%)
- Support cross-functional projects spanning Proctoring, Operations, and Physician Training/NCD
- Participate in process improvement efforts and workflow enhancements
- Execute ad hoc analyses and operational requests to support business priorities
Education and Experience
- Bachelor's degree in a related field such as Computer Science, Information Technology, or Healthcare Informatics
- 2+ years of experience in digital solutions, project management, or a similar role
Knowledge and Skills
- Strong administrative and organizational skills with attention to detail
- Proficiency in Microsoft Office Suite, particularly Microsoft Outlook
- Experience with Monday.com or other project management tools
- Excellent critical thinking skills with the ability to multitask across multiple concurrent projects
- Ability to work independently and as part of a team
- Strong written and verbal communication skills
- Comfortable supporting complex business processes in a regulated environment
